
Guest Artist Terms & Conditions
Welcome to Kapwa Tattoo Studio. We’re honored to host guest artists from around the world and provide a professional, inspiring space to create great work.
To ensure a smooth experience for everyone, please read and agree to the following terms before your guest spot.
1. Booking & Scheduling

Guest artists handle their own bookings and client communication. Kapwa will not manage or schedule client appointments for guest artists.

Artists are expected to be on time for all appointments and maintain clear, professional communication with their clients.

Artists must ensure that each client completes a consent form and provides a valid government-issued ID before being tattooed.

Any cancellations, no-shows, or reschedules are the responsibility of the artist.
2. Licensing Requirements

Guest artists working for more than two (2) weeks are strongly encouraged to obtain a Hawai‘i State Tattoo License, which is valid for two years.

Artists working for less than 14 days are not required to hold a local license, though it is always recommended to protect both the studio and the artist.

If you need assistance obtaining your Hawai‘i license, our assistant can help guide you through the process.
3. Health, Safety & Hygiene

Kapwa maintains strict sanitation standards in compliance with the Hawai‘i Department of Health.

Artists are responsible for cleaning and disinfecting their station after every client and at the end of each day.

If an apprentice is available, they may assist with cleanup—but ultimate responsibility remains with the artist.

Artists are welcome to use the studio’s inks and supplies. Kapwa regularly checks all expiration dates and maintains product safety. However, it is the artist’s responsibility to ensure that our inks and materials meet their personal standards before use.
4. Liability & Client Issues

Guest artists are independent contractors or booth renters, not employees of Kapwa Tattoo Studio.

Artists assume full responsibility for all tattoos they perform, including any potential infections, allergic reactions, poor healing, or unsatisfactory results.

Kapwa Tattoo Studio will not be held liable for any damages, complaints, or claims made by clients in relation to a guest artist’s work.

If a client expresses dissatisfaction, requests a refund, or files a complaint, it is entirely up to the artist how they choose to handle the situation. Kapwa will not issue reimbursements to clients on behalf of any artist.
5. Payments & Fees

Artists collect payments directly from their clients.

The agreed-upon studio fee or booth rent must be paid to Kapwa at the end of each working day or on the schedule agreed upon before the guest spot.

Kapwa does not take client deposits or process payments on behalf of guest artists.
-
Artists are responsible for managing all transactions, refunds, taxes, and receipts for their own business.
6. Deposit & Cancellation Policy

A non-refundable deposit is required to reserve a guest artist spot at Kapwa Tattoo Studio. Due to high demand and limited availability, deposits secure your studio dates and setup preparation.

If you choose to cancel at least 30 days prior to your scheduled start date, you will receive a full refund of your deposit.

Cancellations made within 30 days of the scheduled start date are non-refundable.

Date changes are considered cancellations unless rescheduled dates are approved and confirmed by Kapwa management.
7. Conduct & Professionalism

All artists are expected to maintain a high level of professionalism, respect, and integrity while working at Kapwa.

Artists must follow all studio safety, cleanliness, and community standards.

Drugs, alcohol, and unprofessional conduct are not tolerated on the premises.

Artists should treat clients, staff, and fellow artists with respect and embody the collaborative spirit of Kapwa.
8. Supplies & Equipment

The studio provides disposable setup materials (gloves, barriers, disinfectants, etc.).

Artists must bring their own machines, needles/cartridges, inks (if preferred), and personal tools.

Artists using Kapwa’s inks do so at their own discretion, understanding that the studio maintains but does not guarantee product suitability for individual artists’ preferences.
9. Content & Promotion

Artists are encouraged to tag @kapwatattoo in any social media posts made during their guest spot.

Kapwa reserves the right to photograph or share work created in the studio for promotional use, with proper artist credit given.

Artists retain full ownership of their tattoo designs and may use images of their work freely.
10. Termination
-
Kapwa reserves the right to end a guest artist’s stay at any time for violations of health, safety, or conduct policies.

Any unpaid studio fees or outstanding balances will be due immediately upon termination.
11. Agreement
By confirming a guest artist appointment at Kapwa Tattoo Studio, you acknowledge that you have read, understood, and agree to abide by these terms and conditions.
